Player 5 Studio is not responsible for delays caused by missing information, late approvals, incomplete materials, unavailable client schedules, or lack of access.
6. Payments, Deposits, and Fees
Pricing for Player 5 Studio services may vary depending on the project, scope, timeline, deliverables, and level of support required.
Payment terms will be outlined in the relevant invoice, proposal, service agreement, or written confirmation.
Depending on the service, payment may be required:
In full before work begins
As a deposit before work begins
On a milestone basis
On a monthly retainer basis
Upon delivery
According to another agreed payment schedule
Deposits, once paid, may be non-refundable unless otherwise stated in writing.
Late payments may result in delayed work, paused services, withheld deliverables, or termination of the project or service agreement.
7. Monthly Services and Retainers
For monthly content management, social media management, paid ads support, or ongoing creative services, the client agrees to the payment schedule and service period confirmed in writing.
Monthly services may include a recurring workload such as:
Content planning
Editing
Posting
Scheduling
Reporting
Performance review
Ongoing content refinement
Ad campaign management
Website updates, if included
Unused services, content pieces, revisions, or hours may not roll over to the following month unless otherwise agreed in writing.
Either party may end an ongoing service arrangement in accordance with the cancellation terms agreed in writing.
8. Cancellations and Rescheduling
Clients must provide reasonable notice if they need to cancel or reschedule a shoot, meeting, consultation, or project.
Player 5 Studio understands that schedules can change. However, repeated cancellations, short-notice changes, or missed appointments may result in:
Rescheduling fees
Lost deposit
Timeline delays
Reduced deliverables
Project cancellation
Additional charges for time already reserved or work already completed
If Player 5 Studio needs to reschedule due to illness, emergency, weather, equipment issues, or circumstances outside our control, we will make reasonable efforts to find a new suitable date.
9. Creative Work and Revisions
Player 5 Studio provides creative, strategic, and marketing services informed by professional experience, client goals, and the agreed-upon project scope.
Revisions may be included depending on the service. The number of included revisions, if applicable, will be confirmed in writing.
Revision requests must be reasonable and aligned with the original project scope.
Revisions may not include:
A completely new creative direction after approval
A full restart of the project
Requests outside the agreed service
Changes caused by incomplete or incorrect information provided by the client
Additional deliverables not included in the original scope
Additional revisions may be billed separately.
10. Turnaround Times
Player 5 Studio aims to complete the work within the agreed-upon timeline with the client.
Turnaround times may vary depending on:
Project complexity
Client response time
Feedback delays
Number of revisions
Shoot scheduling
Amount of content being edited
Website requirements
Paid ad setup requirements
Third-party platform delays
Availability of assets, approvals, or access
Any timeline provided is an estimate unless specifically confirmed as a guaranteed deadline in writing.
Rush requests may be available at an additional cost.
11. Content Approval and Posting
For social media management or content support services, Player 5 Studio may create, schedule, or publish content on the client's behalf.
Clients are responsible for reviewing and approving content when approval is required.
Once content is approved by the client, Player 5 Studio is not responsible for errors, omissions, inaccurate claims, compliance issues, or required corrections unless caused directly by Player 5 Studio.
If the client chooses to waive approvals or grants Player 5 Studio permission to post directly, the client accepts responsibility for the content published on their behalf.
12. Paid Advertising
If Player 5 Studio provides paid advertising services, the client is responsible for all advertising spend unless otherwise agreed in writing.
Ad spend is separate from Player 5 Studio’s management fee.
Player 5 Studio may assist with:
Campaign strategy
Campaign setup
Creative direction
Ad copy
Audience targeting
Campaign management
Performance monitoring
Optimization
However, Player 5 Studio does not guarantee specific advertising results, including but not limited to:
Leads
Sales
Bookings
Follower growth
Website traffic
Cost per lead
Return on ad spend
Conversion rates
Advertising performance depends on many factors outside our control, including market conditions, platform algorithms, audience behaviour, budget, offer strength, landing page quality, and competition.
13. Website Design Services
If Player 5 Studio provides website design services, the client is responsible for providing accurate business information, images, service details, legal policies, and any required compliance content.
Website design services may include:
Page layout
Website copy support
Visual direction
Squarespace website design
Basic optimization
Mobile-friendly formatting
Service page structure
Contact form setup
Unless otherwise agreed, website services do not include advanced custom coding, legal copywriting, e-commerce setup, ongoing maintenance, hosting fees, domain fees, third-party subscriptions, or complex integrations.
Player 5 Studio is not responsible for website downtime, hosting issues, platform outages, plugin errors, domain problems, or third-party service interruptions.
14. AI-Assisted Workflows
Player 5 Studio may use AI-assisted tools as part of the creative, planning, editing, strategy, or workflow process.
AI may assist with:
Drafting ideas
Content planning
Captions
Script concepts
Research organization
Editing workflows
Content repurposing
Creative direction
Internal productivity
AI tools are used to support the process, not replace human judgment, strategy, or creative direction.
Player 5 Studio reviews, refines, and directs AI-assisted outputs before presenting work to clients whenever applicable. However, clients are responsible for reviewing final deliverables for accuracy, suitability, compliance, and approval.
15. Ownership of Work
Unless otherwise stated in writing, once the client has paid all outstanding invoices in full, the client receives the right to use the final approved deliverables created specifically for them.
This may include final edited videos, final graphics, final photos, website designs, captions, content calendars, or other completed project assets.
Player 5 Studio may retain ownership of:
Raw project files
Working files
Editing files
Design source files
Project templates
Internal systems
Strategy frameworks
Creative processes
Unused concepts
Drafts
Behind-the-scenes materials
Proprietary methods
Raw footage, raw photos, editable design files, project files, or source files are not automatically included unless agreed upon in writing.
16. Portfolio and Promotional Use
Unless the client requests otherwise in writing, Player 5 Studio may display completed work for portfolio, marketing, educational, or promotional purposes.
This may include sharing work on:
Player 5 Studio’s website
Social media accounts
Case studies
Presentations
Proposals
Portfolio samples
We will make reasonable efforts to avoid sharing confidential or sensitive client information.
17. Third-Party Platforms and Tools
Player 5 Studio may use third-party platforms, software, and tools to deliver services.

Scheduling

AI-assisted workflows

Player 5 Studio creates and supports content to improve brand presence, clarity, consistency, engagement, and growth.
However, we do not guarantee specific results on social media or digital platforms.
This includes, but is not limited to:
Follower growth
Views
Reach
Engagement
Leads
Sales
Viral performance
Algorithmic distribution
Search ranking
Website traffic
Platform approval
Account growth
Performance depends on many outside factors, including market demand, audience behaviour, posting frequency, industry competition, platform algorithms, client involvement, offer quality, and timing.
19. Confidentiality
Player 5 Studio respects client confidentiality.
We may receive access to private business information, account details, campaign plans, content ideas, passwords, internal documents, or other sensitive information.
We will not intentionally share confidential client information with third parties unless:
Required to complete the service
Approved by the client
Required by law
Necessary to protect our rights or business
Clients are also expected to respect the confidentiality of Player 5 Studio’s pricing, processes, proposals, strategies, and internal systems.
20. Accuracy of Information
Clients are responsible for ensuring that all information they provide is accurate, complete, and legally usable.

21. Real Estate, Business, and Industry Compliance
Player 5 Studio may work with real estate professionals, small businesses, and other regulated or semi-regulated industries.
Clients are responsible for ensuring that all content, advertising, website copy, and marketing materials comply with their industry rules, brokerage policies, advertising standards, platform policies, and applicable laws.
For real estate clients, this may include rules related to:
Brokerage identification
Listing accuracy
Agent titles
Property claims
Sold data
Advertising permissions
Disclaimers
MLS or board rules
RECO or provincial requirements, where applicable
Player 5 Studio may support marketing execution, but the client remains responsible for industry compliance and final approval.
22. Limitation of Liability

Player 5 Studio provides creative, marketing, content, advertising, and website support based on professional experience and best practices.
We do not guarantee any specific business outcome.
This includes, but is not limited to:
Increased revenue
More clients
More leads
More followers
Viral content
Improved search rankings
Ad profitability
Faster sales
Increased bookings
Brand growth
We aim to provide strong strategy, creative execution, and consistent support, but results may vary.
24. Termination of Services
Player 5 Studio may pause or terminate services if:
Payments are overdue.
The client fails to provide the required materials or access.
The client repeatedly delays approvals.
The client requests work outside the agreed scope without approval.
The client engages in abusive, disrespectful, or inappropriate behaviour.
The project becomes unworkable due to a lack of communication.
Continuing the project would negatively affect Player 5 Studio’s business, reputation, or values.
Clients may also request to terminate services according to the terms agreed in writing.
Fees for completed work, reserved time, or active project work may still be owed.
25. Refunds
Refunds are not guaranteed and are handled on a case-by-case basis.
Player 5 Studio may not provide refunds for:
Completed work
Work is already in progress
Strategy sessions already delivered
Content already filmed
Editing already completed
Website work has already started
Monthly services already active
Deposits used to reserve time or resources
Client delays, cancellations, or changes of direction
Any approved refund will be confirmed in writing.
